VENIO - EARLY CASE ASSESSMENT
Job Description: Novice E-Discovery users required to assess 40GB Lotus Notes Files - Time Frame: 1 week
Our client with no E-Discovery experience had to assess 40 GB worth of Lotus Notes e-mail files. They wanted a quick, low cost option to access the information on hand in order to evaluate the scope of the issues and determine their approach. We ran the files through Venio which gave lawyers access to the data within hours. As the client needed to ascertain how connected the e-mails were in relation to the matter – they wanted a clear picture of the parties involved, our Solutions Consultants ran keyword searches and showed the social network map that visually shows who this person sent emails to which proved to be a great tool to the legal team. The use of Venio allowed for the legal team to complete scoping in 2 days and the Discovery completed within 7 days. The job was delivered earlier than expected and under budget.
Job Description: Regulator request for Information , unknown data size & scope - Time Frame: 10 days
Our client was tasked to meet a regulator request for information within a 10 day period. The initial data size was not known, nor was the content or discovery scope. Ultimately we received 400GB of email and free files from the file server. We ran the raw data into Venio and within 24 hours the lawyers were able to look at the first 100 GB batch of information first thing in the morning. We then sat down with the partner and the senior associates of the matter and were able to refine Keywords/Date Range/Custodians elements of the data very very quickly – ultimately there were 150 custodians and 450 individual items. Project was delivered within the time frame.
Job Description: Fast discovery deadline - Time Frame - 3 days
Our client had 1.2TB of data they needed to assess to determine the scope of discovery. We received 1.2TB of data on three hard drives. The data was ingested and indexed into Venio FPR within 3 days, allowing the lawyers to view, search and analyse the documents to accurately determine the best course forward in the matter.
E-DISCOVERY & RELATIVITY
Job Description: eDiscovery and Case Management hosting of 230 GB - Time Frame: 8 weeks
Our client required the extraction, culling and hosting of 1.2 million items for a fast turnaround request from a government regulator. A process strategy was developed to enable the firm to meet the deadlines. Execution included the electronic processing of all the evidence then presentation on a hosted case management platform for native file review. Once privilege and relevance of documents was determined LIO extracted and rendered the appropriate requisite documents in preparation for presentation to the regulator. The job was delivered on time & on budget.
COPY
Job Description: 50 Folders x 10 copies - Time Frame: 1 day
Law In Order received the job at 5pm, due the next morning. Documents required pagination, copied 10 times and delivered to the other parties at 4 different CBD locations. Documents contained staples, clips and dividers. All folders were placed in boxes with clear labels specifying box number, copy set and volume range with recipient details. Job was completed by the due time of 9:00 am.
Job Description: Overnight Work - Time Frame: 5-8 hours
Over a period of 3 weeks, 2 firms that were engaged in Federal Court Fast Track Litigation proceeded to service documents to opposing parties at Midnight. LIO would be required to pick up documents from between Midnight and 3:00 am from various locations in the CBD; copy and then deliver the finished product to various locations by 8:00 am.
Job Description: 27 folders x 20 copies - Time Frame: 15 hours
Our client logged an urgent copying job at 6:00 pm which required an overnight turnaround. LIO picked up the documents, continuously paginated 27 folders, prepared over 200 custom dividers, placed in folders with folder covers and spines. The job was delivered back to the client at 8:30 am.
APPEAL BOOKS
Job Description: Electronic Court Book - Time Frame: 6 weeks
LIO prepared a precedent setting Court Book for an arbitration hearing on behalf of 3 parties. The job involved scanning and electronically paginating 3,500 documents, which equated to hundreds of thousands of pages; preparing and collating the index, which was over 200 pages long; hyperlinking documents to the index, as well as printing 6 copies and burning to CD. A precedent was set where LIO cross referenced the exhibits to the affidavits and included it within the index.
Job Description: High Court Appeal Book - Time Frame: 24 hours
A client prepared and submitted to the registry a High Court Appeal Book which was returned to them as it did not comply with the court rules. The client was given a 24 hour extension by the court. LIO received the job at 10:00am and had all 17 copies of the 3 volume appeal book returned to the client by 9:00 am the following morning, complying with all court rules. LIO compiled all relevant title pages and indexes as well as filed the books at the High Court.
Job Description: Blue Supreme Court Appeal Book - Time Frame: 24 hrs
Client required a Blue Appeal Book prepared. It consisted of 3 volumes x 15 copies, which included A3 pages and colour documents. We picked up the documents at 8:30 am and a draft was sent to the client for approval by 10.14 am. Upon receipt of the approved draft from at 11.17am, LIO prepared the final copies and filed at Court before 3 pm. Subsequently, the client made a change to the books which required LIO to attend the court and uplift the books that we had just filed in order to make the change. This was all done and final copies completed by 5pm. Client was very appreciative that we turned it around so quickly and that we saved them by amending the filed books before they went up to the judges.
COURT COPYING
Job Description: Supreme Court Copying - Time Frame: 1 day
Our client rang LIO with a request to access Subpoena Documents at the Supreme Court. We advised the client to complete the PN SC Gen 3 form that allows for Law In Order to uplift documents back to LIO for copying. The packets yielded approximately 38,000 pages which LIO delivered back to the client within 24 hours of the initial request.
Job Description: Urgent District Court Copying - Time Frame: 1 hour
At 3:40 pm, a client logged a District Court Copying request in JMS. The client required the job to be delivered by 4:45 pm and already had immediate access to the documents. Despite the courts closing at 4:40 pm, Law In Order's court copy clerk accessed the documents and delivered the job back to the client at the appointed time.
SCANNING
Job Description: Scan 25 Boxes - Time Frame: Weekend (2 days)
In a hostile matter, our client only has access to a document set over weekend. We were tasked with scanning 25 boxes of documents over the weekend. The documents were old and had been stored poorly and consisted of plans and small hand written receipts. The documents were scanned, returned to the opposing party and a CD was delivered to our client by 9 am on the Monday morning.
Job Description: OCR 1 million pages - Time Frame: 1 week
An urgent turnaround was required for converting scanned images to OCR PDF Files. Documents were provided on a portable hard drive and were OCR'd using Law In Order's two pass process (two separate OCR engines ensure the highest completion rate). The document set was completed in the time required.
CODING
Job Description: Coding of 400,000 Documents - Time Frame: 6 weeks
Law In Order had to meet production targets of 10,000 documents per day in order to reach the court deadline. In order to achieve the target, Law In Order ran daily update production meetings with the client, and ran both day and night shifts, 7 days a week out of Brisbane , Melbourne and Sydney. At its peak, Law In Order had in excess of 50 staff working on the project and coded as many as 18,000 documents in a single day. The project was delivered on time, to scope and to cost.
